What is PDF/A Format?
PDF/A is a subset of the PDF format, standardized by ISO (ISO 19005 standard), specifically designed for long-term archiving of electronic documents. Unlike standard PDF, PDF/A imposes restrictions that guarantee the document can be reproduced exactly the same way in years or even decades, regardless of the software or operating system used to open it.
This format has become a requirement in many sectors: public administration, legal, healthcare, finance, and any field requiring reliable document archiving. Many governments worldwide encourage or mandate the use of PDF/A for digitized official documents.
PDF/A Versions
PDF/A-1 (ISO 19005-1:2005)
The first version of the standard, based on PDF 1.4. It offers two conformance levels: PDF/A-1a (Level A, full conformance including accessibility) and PDF/A-1b (Level B, minimal visual conformance). It's the most widely supported and accepted format.
PDF/A-2 (ISO 19005-2:2011)
Based on PDF 1.7, it adds support for JPEG2000 compression, PAdES signatures, and the ability to embed other PDF/A files. It's recommended for new archives because it offers better compression capabilities.
PDF/A-3 (ISO 19005-3:2012)
Identical to PDF/A-2 but with the ability to embed files in any format (XML, CSV, etc.). It's the ideal format for electronic invoices that need to embed structured data (such as ZUGFeRD or Factur-X format).
How to Convert a PDF to PDF/A
- Access the conversion tool – Open the EasyPDF PDF to PDF/A converter.
- Upload your PDF – Drag and drop the document you want to convert.
- Choose the PDF/A version – Select the desired conformance level (PDF/A-1b, PDF/A-2b, etc.) according to your requirements.
- Start conversion – The tool analyzes your document, fixes non-conformities, and generates the PDF/A file.
- Download and verify – Get your converted file. A conformance report indicates whether the conversion was successful.
What Makes PDF/A Special
- Embedded fonts – All fonts used must be incorporated in the file, ensuring identical display everywhere.
- No external content – No references to external resources (images, fonts, linked files) are allowed. Everything is self-contained in the file.
- No encryption – Encryption is prohibited because it could prevent future access to the document if keys are lost.
- XMP metadata – Metadata must be in XMP (Extensible Metadata Platform) format for maximum interoperability.
- Defined color space – Colors must be specified in a device-independent manner for consistent rendering.
When to Use PDF/A?
- Legal documents – Contracts, notarized deeds, court decisions.
- Financial documents – Invoices, financial statements, tax returns.
- Administrative documents – Permits, certificates, administrative decisions.
- Corporate archives – Internal policies, meeting minutes, quality procedures.
- Medical documents – Patient records, lab reports, prescriptions.
Frequently Asked Questions
Is a PDF/A larger than a regular PDF?
Yes, generally. The requirement to embed all fonts and resources increases file size. However, this increase is modest for text-based documents. For documents with many images, the size remains comparable. You can carefully use the Compress PDF tool, verifying that PDF/A conformance is preserved.
Can I modify a PDF/A file?
A PDF/A can be modified, but the resulting file must still comply with PDF/A standards to maintain conformance. It's recommended to edit the document and then reconvert it to PDF/A to ensure compliance.
