What is a PDF Watermark?

A watermark is a visual element overlaid on the pages of a PDF document. It can be text (such as "CONFIDENTIAL", "DRAFT", or "COPY") or an image (logo, stamp). The watermark is generally semi-transparent to remain visible without preventing reading of the underlying content. It's an essential protection and identification tool in the professional world.

Watermarks serve three main purposes: protecting intellectual property by discouraging unauthorized copying, identifying the document's status (draft, confidential, final version), and tracing the document's origin in case of a leak by personalizing the watermark with the recipient's name.

Types of Watermarks

Text Watermark

The text watermark is the most common. It consists of text placed diagonally or horizontally on each page of the document. The most frequent texts are "CONFIDENTIAL", "DRAFT", "DO NOT COPY", "SPECIMEN", or "ORIGINAL". The EasyPDF PDF Watermark tool lets you customize the font, size, color, opacity, angle, and position of your text watermark.

Image Watermark

An image watermark uses a logo, stamp, or custom graphic. It's ideal for branding: add your company logo as a watermark on externally distributed documents. The image should be high-resolution but will be rendered semi-transparent so as not to hinder reading.

Dynamic Watermark

For maximum leak protection, the dynamic watermark includes recipient-specific information: name, send date, unique serial number. If the document leaks, you can immediately identify the source. This technique is used for highly sensitive documents distributed to multiple people.

How to Add a Watermark with EasyPDF

  1. Access the tool – Open the EasyPDF PDF Watermark tool.
  2. Upload your PDF – Drag and drop the document to protect.
  3. Choose the watermark type – Select text or image.
  4. Configure the appearance – Define the text or upload the image, then adjust opacity (typically 20-40% for readability), size, color, angle, and position.
  5. Select pages – Apply the watermark to all pages or only to specific pages.
  6. Apply and download – Confirm and retrieve your watermarked document.

Watermark Best Practices

  • Balanced opacity – A watermark that's too visible hinders reading, too subtle and it doesn't serve its purpose. An opacity of 20-30% is generally ideal for text watermarks.
  • Appropriate size – The watermark should cover sufficient area to be difficult to remove but not dominate the content. A diagonal watermark covering the page is most effective.
  • Contrasting but discreet color – Light gray is the most common choice for text watermarks. It remains visible on the white background while being discreet.
  • Combine with other protections – A watermark alone can be removed by a determined user. Combine it with password protection to prevent editing and maximize security.

Common Use Cases

  • Confidential documents – Mark financial reports, strategic plans, and sensitive data with a "CONFIDENTIAL" or "RESTRICTED DISTRIBUTION" watermark.
  • Drafts and working versions – The "DRAFT" or "WORKING VERSION" watermark prevents unfinished documents from being confused with the official version.
  • Samples and demonstrations – Photographers, designers, and authors use watermarks to protect their work shared as previews or demonstrations.
  • Traceable documents – Customize the watermark with each recipient's name to trace the origin of potential leaks.

Frequently Asked Questions

Can a watermark be removed?

A watermark added as an annotation can technically be removed with a PDF editor. For stronger protection, flatten the document after adding the watermark (which integrates the watermark into the page content) and protect the PDF against editing.

Does the watermark affect printing?

Yes, the watermark will appear in print as on screen. If you want a watermark visible only on screen, you can configure its properties so it doesn't print (feature available in some PDF readers).
